When Creating a Project
- Please follow this naming convention:
- CLIENT-XXXX-XX Description
- XXXX-XX is advantage job number followed by the component number
- Example: BI-6470-1 Brokers Consumer (B2C) Post-Launch Work
- You must include job number because that is how they get billed to us
- Adding People to a Project
- Include the appropriate members from the Brand Management Department
- Include multiple people from WWC:
- Jeff + Wendell + anyone else who you suspect might work on the project (such as Miles)
### When Adding Tasks
- Put tasks within a relevant task list. You might want to create a task list for “overview”, “development” and “QC” for example to keep things straight
- Each task needs to be assigned to someone
- Each task needs multiple Cornett employees added as subscribers
- That way if someone is out there are others that are aware of the task
- Create subtasks for each discrete action, line item or deliverable. You can describe in detail within the description, but the subtasks will be clear action items.
- For example:
- Update header image
- Center headline vertically
- Etc…
- We’ve asked Wendell’s team to check off subtasks when they are complete and also post in the thread.
- Unfortunately, completed subtasks will not generate an email to you, but it is available under the “Activity” section of the Project in ActiveCollab.
- Do not close a task until all the work inside is confirmed and complete
- If you do notice something that needs to be done within a closed task, reopen so it shows within the task lists
- Be sure to comment that everything looks good before you close it out
### Due Dates
- Each task needs a due date
- I always like to give WWC at least 2 days to complete a subtask. They likely already have a full plate today, and a number of things lined up tomorrow. But it is better to plan out tasks well in advance so they and us can plan out our workloads.
- If something is logged as high priority or a task WWC needs to do immediately, please be prompt with replies to any of their questions or comments.
- WWC has similar business hours to us – logging a task at 5pm and asking for it to be done before 9am is not realistic in most instances
- If there is a true emergency you can call their after hours support line (859) 625-1100 but after hours work will result in an extra change from WWC above and beyond their normal hourly rate.
